This page describes what Jean's Farm Parent Hub stores, who can see it, and how to get
it removed. It is written from what the system actually does, not from a template.
We do not sell anything, and we do not advertise. Nothing here is
shared with data brokers, ad networks, or analytics companies. The only outside
services involved are the ones that carry a message to you — they are listed below.
What we store
- About you: your name, mobile number, and email address if you give
one. Your number is also how you sign in.
- About your child: the child's name, and which adults are their
guardians. Nothing about grades, health, or behaviour.
- What the school sends and what you answer: notices, permission
slips, what you signed up to bring, and whether you have responded.
- Photos and files uploaded to school albums, by the teacher or by
parents, including who uploaded each one.
- Tuition records: what was charged, what was paid, and when.
- Circle posts you write, and any report someone files about a post.
- Delivery records: that a notice was sent to you and on which
channel. Sign-in codes are stored briefly and expire within minutes.
- Posts are summarised by an AI model: when the teacher or a parent posts, the text of
the post is sent to an AI model (DeepSeek) to pull out the key details — dates, times, things to bring,
links — shown at the top of the post. For the teacher's posts, the school's list of children's first and last
names is sent along, so the summary can tell which child a note is about. Phone numbers and email addresses are
never sent. It is used only to make that summary, and the original post is always shown as written.
- Usage records: which pages and sections of the Hub you open, and
which help videos you play, with the time — and, when a photo or video fails to upload,
why it failed, its file type and rough size (never the file itself). We use them only in totals — how many
families used the Hub this week, which parts are hard to find — to improve it. We do
not record what you type, and we do not use any outside analytics service.
- Your notification settings, including quiet hours and, if you
connect it, the Telegram chat to deliver to.
Who can see it
- The teacher can see the roster, what each family has answered,
tuition status, and school albums. She cannot see Circle posts unless someone reports
one to her.
- Every other family the school has enrolled can see school albums,
Circle posts, and the names of families the school has chosen to show for a particular
activity. They cannot see your phone number, your email, or your tuition.
Albums and Circle are shared by everyone enrolled at the school — they are not
separated by class or by group.
- Nobody outside the enrolled families can see anything. Photos are
not public: each request for a photo is checked against who you are.
Outside services
- Twilio carries our text messages. It receives your mobile number
and the text of the message.
- Telegram, only if you connect it yourself, receives the message and
the chat it goes to.
- Email, if the school has it configured, goes through an ordinary
mail provider.
- Fly.io hosts the system and therefore stores the database and the
uploaded files.
Each of these is used only to deliver something to you. None of them is given your
information for their own purposes.
How long we keep it
School content stays for as long as the school is running. Sign-in codes expire in
minutes. Usage records are deleted after 180 days. When a child leaves the school, ask the school to remove the family's record —
see below.
Your choices
- Which channel: choose text, email, or Telegram per level of
importance in your settings.
- Quiet hours: hold non-urgent messages until the morning.
- Stop texts: reply STOP to any message. This also stops
urgent safety notices — see the Terms of Service.
- See or delete your information: ask the school. A person will do it;
there is no self-service delete button, because removing a family's record also
touches shared school content and someone should look at it first.
Children
Children do not have accounts. Everything here is held by the adult guardians the
school has enrolled. Photos of children are visible to every enrolled family — not to
anyone outside them — and any parent can report a photo they do not want up; it is
hidden from everyone the moment it is reported, before anyone reviews it.
Security
Sign-in is by one-time code to your mobile number; passwords are only used for staff
accounts and are stored hashed. Photos are served only after checking who is asking.
We are a small school, not a security company — tell the teacher immediately if you
think something is wrong with your account.
Changes
If this policy changes in a way that affects you, the school will tell you through the
Hub before the change takes effect.
